General Questions

  1. Who needs to enter time? 
  2. Do you enter time by individual employees, or on behalf of the team?
  3. Can a manager enter time for their team members?          Do you want them to?
  4. What format do you use? 
  5. Resource Setup
Do you have resources that are equipment or machines that you want to budget or track time for?
Do you have subcontractors that you want entering timesheets?
Minimum Information you will need for each Resource
  • Name
  • Project Manager and/or Project Executive? (See below for details of these roles)
  • Resource Group (Labor Classification)
  • Resource Sub Group
  • Salary Type (hourly or salary)
  • External resource (yes or no)
  • Supervisor (Line Manager)
  • Weekly Salary or hourly rate
  • Standard Billing rate
  • Employment Date
  • Timesheet Configuration (see Time Setup document for details)
  • Is Resource allowed to see labor costs? (Resource Card Permissions)
  • Is Resource allowed to see labor billing rates? (Resource Card Permissions)
  • Is Resource allowed to edit labor costs? (Resource Card Permissions)
  • Is Resource allowed to edit labor billing rates (Resource Card Permissions)

  1. Resource Costs
Do you have hourly employees?
Do you pay overtime at a higher factor than standard hourly rate?
Do you bill overtime at a higher factor?
Do you have Salary employee?
Is the dilution of salary across all hours entered by the employee required?
Do you have salary employees that are nonexempt and paid for overtime hours?
Do you have resource costs that vary based on project/task for hourly employees?
  • If Yes, then use the Resource Cost screen to establish those costs
Do you have a historical cost rates you need to track for hourly employees?
  • If Yes, then use the Resource Cost screen to establish those costs
 
  1. Resource Billing Rates
Do you have prices/billing rates that are specific to a Resource or Resource group?
Do you have prices/billing rates that are specific to a Resource or Resource group on a specific project?

  1. Resource Timesheet Periods
Do you want your resources allowed to enter time to future period?
  • If yes, how far into the future?
  • Note - Resources can enter time if the timesheet period for the specific resource exists. If it does not exist, they cannot enter their time.
  • You will need to determine workflow procedures to determine dates to create new timesheet periods
 
  1. Resource Capacity

Do you want to enter budgets for resources based on their available work schedule?
- If Yes, then run the update capacity process to create their working schedule for budgeting

Steps to setup a Resource

  1. Create the Resource Card
  2. Setup Resource Costs (if applicable)
  3. Setup Resource Prices (If applicable)
  4. Give permissions to projects if required on the project card (See project setup document)
  5. Create Time Periods
  6. Update Capacity
  7. Link them to a user in User Setup

Resource Setup

Highlighted below are key fields that should be setup for all resources.


      • No. – Enter a unique code or select the numbering sequence to be used for this resource
      • Name – Enter the Name of the Resource
      • Type – Select the type of resource.  Options are:
        • Person
        • Machine
      • Project Manager – Check this box if this user will act as a Project Manager.  Project Managers are allowed to approve Timesheets for their projects. It also allows the resource to be chosen as a Project Manager on the Project Card. See Resource Card Permissions content within this document for more information
      • Project Executive – Check this box if this user will act as a Project Executive.  Project Executives are allowed to approve Timesheets and see resources and all data on project in the system. See Resource Card Permissions content within this document for more information
      • Search Name - Enter text to be used in searching for this resource.
      • Resource Group No. – Select the Resource Group No. from the list of Resource Groups set up.
      • Resource Sub Group No. - Select the Resource Sub Group No. from the list of Resource Sub Groups set up.
      • Employee No. – Link to a Business Central Resource – informational only
      • External Resource – Check this box if the resource is an external resource
      • Blocked  – Check this box to block the resource from being used in other screens
      • Line Manager – Select the Line Manager from the Resource Code List. Choose a resource as the line manager for the resource in question. See Resource Card Permissions content within this document for more information
      • Line Manager 2 - Select the Line Manager 2 from the Resource Code List. Choose a resource as the line manager for the resource in question. See Resource Card Permissions content within this document for more information
      • General Product Posting Group – Select the posting group. This is used for the revenue posting if the timesheet flows through to billing
      • Timesheet – check this box if the Resource will enter Timesheets
      • Timesheet Configuration – choose the Timesheet configuration that applies to this Resource
      • Vendor – this is the vendor used when expense reports associated to this resource generate purchase invoices or vendor journals

Resource Costing Options

There 3 options for labor cost
  1. Labor Costing Method = Standard | Pay Type = Hourly
    1. Regular hours are paid based on the Direct unit cost defined on the Resource Card or the Resource Costs screen
    2. Overtime and Overtime2 are paid based on Direct unit Cost * Pay Factor Defined in Timesheet Configuration or the Resource Cost screen
  2. Labor Costing Method = True Labor Cost | Pay  Type = ‘Salary Exempt’
    1. Salary entered on the Resource Card is distributed across all hours (Regular, overtime and overtime2) entered on the timesheet
    2. No overtime factor is used.
  3. Labor Costing Method = True Labor Cost | Pay Type = ‘Salary Non Exempt’
    1. Salary entered on the Resource Card is distributed across all Regular hours entered on the timesheet
    2. Hours entered overtime or overtime2 are both costed at the Direct Unit cost on the Resource Card or the Resource Costs screen
    3. No overtime factor is used.

Resource Costs

The Resource Costs screen can be used to:
  1. Setup detailed cost history to establish rate changes for hourly employees.
  2. Setup exceptions for resource cost rates based on project and/or tasks
  3. Setup detailed cost history to establish rate changes for salary employees.
  4. Setup standard costs based on resource group

Resource Prices (Billing Rates)

Setup the Resource Prices screen to define billing rates by Start Date| Project | Task | Resource (or Resource Group) or any combination of these criteria. Use this screen in combination with Resource Price Templates to copy pricing structure from one project to another

User Setup and Project Access

Link users to Resources in the USER SETUP screen. When the user logs into the system, the project access is based on the user setup and key permissions defined on their Resource Card. See Resource Card Permissions within this document.
Resource Admin – this identifies specific users with the ability to see all resources and edit key fields on the resource card. Resource admins can designate someone as a project manager, project executive and give permissions on the resource card.

Resource Card permissions





 
  • Project Manager – Check this box if you want the ability to assign them as a project manager on the project card. The project list will only include projects that a person is assigned as the project manager
  • Project Executive- The have rights to see all projects and all resources in the system
  • Line Manager 1 and Line Manager 2 – They have the ability to approve time in layer 2 of the Time Approval. They also can see and\or enter the Timesheets of resources they are assigned to as Line manager 1 or 2.
  • Impersonator – Assign someone as an Impersonator if allowed to enter timesheet on behalf of another resource. (only used if a resource is not already a project executive or their line manager 1 or line manager 2)
  • Permissions - View Labor Costing and View Labor Pricing – allows this resource to see the cost or prices for ANY resource in the system. This will probably only be checked for project manager
  • Edit Labor Costing and Edit labor Pricing – this allows the override of the value assigned by the system for resource costs and/or prices. This will probably only be checked for a handful of accounting team

Resource Timesheet Periods

Use the Create Time Periods button to generate Time Periods for one resource or all resources. The Time Periods created will be generated based on the information of the Timesheet Configuration attached to the Resource Card.

When creating the period, designate a Start Date and End Date for the period range
  • Start Date – Beginning date of timesheet period creation
  • End Date – Ending date of timesheet period creation
  • Period # - this is optional. The system will assign the period (or week) number automatically. Populate the period number if you want override what the system assigns.
  • Resource No. filter – enter a resource ID if you prefer the time periods to be created for one resource. Leave this blank and it will create timesheet  period’s for all resource

Resource Capacity

Resource Capacity is used for budgeting and planning and is generated based on the Norm Time defined on the Timesheet Configuration of the Resource.
Create Resource capacity for one Resource or all resources using the Update Capacity button from the Resource List

Define the date range to create capacity.
If you remove the Resource No filter it will create capacity for all resoures
