  1. Msft BC External Accountant licenses need to be purchased (for free) through the Velosio Hub - https://hub.velosio.com/marketplace/kts/
    1. Up to 3 BC External Accountant Licenses can be redeemed.
      1. Per Microsoft March 2021: External accountant licenses for customers who have external accountants who wish to connect to their Business Central application for providing supplemental professional accounting or bookkeeping services related to the auditing process. The External Accountant Licenses have same access as the Business Central Essentials license except for the following: Access to user set up or admin tasks and any other Business Central application. Unlimited companies
      2. Per Mark Lewis (Velosio CSM): CSMs automatically order the maximum 3 External Accountants for every client. It is expected that the Consulting team assigns the BC users but this process may not be adhered to consistently. If this is the case, the BC Consulting or Support Team Members may need to revisit the steps listed below.

  1. Once the Licenses are purchased, they will be available in the Client's Azure Active Directory or Microsoft 365 Admin Center application. Then follow these steps: (Note: The user doing this must be assigned the Global admin role or User admin role in the Microsoft 365 admin center.)
    1. Add the Partner (user) a guest user in Azure Active Directory
      1. Open the Azure portal. -https://portal.azure.com/
      2. In the left pane, select Azure Active Directory.
      3. Under Manage, select Users.
      4. Select New guest user.
      5. On the New user page, select Invite user and then add information about your external accountant.
      6. Optionally, include a personal welcome message to the accountant to let them know that you are adding them to your Business Central.
      7. Select Invite to automatically send the invitation. A notification appears in the upper right with the message Successfully invited user.
      8. After you send the invitation, the user account is automatically added to the directory as a guest.
      9. An intermediate steps is for the Partner (user) to accept the invitation sent to them via email
    2. Give the Partner (user) access to a BC External License
      1. In the Azure portal, on the newly added user, choose Profile, and then choose Edit
      2. Update the Usage Location field to the relevant country, and then choose Save.
      3. Choose Licenses, and then open Assignments.
      4. Choose the Dynamics 365 Business Central External Accountant license.
      5. If this license is not available, contact your reselling partner to add the license to your subscription.
      6. Specifically for evaluation purposes in a trial tenant, you can use an available Dynamics 365 Business Central for IWs license instead. However, you cannot use this type of license if you have already purchased Business Central.
      7. Save the assignment.

  1. Once the License is assigned to a User:
    1. The User will need to accept the invitation he/she received from Microsoft:
      1. Email Subject example: "Clients Name" invited you to access applications within their organization
      2. From: Invites@microsoft.com
    2. The User will need to be manually pulled into Business Central from within Business Central.
      1. Navigate to the "Users" Page. Click Process > Update Users From Microsoft 365
      2. Users <br>Users: All v <br>p Search +- New Manage <br>Process <br>Update users from Microsoft 365 Effective permissions
    3. Note to Client: The Users BC Permissions will need to be updated to Reflect and be limited to the tasks that the External Accountant User will be performing in BC.
    4. The Business Central Tenant URL will needs to be provided to the User so they can gain access to BC.

      2. At this point it is assumed the User has login credentials (User Name & Pwd).
        1. If not, then the following steps are required to initialize the new User so that they can login
        2. The steps need to be completed by someone with Global admin role or User admin role in AAD or M365 Admin Center.
        3. Users can reset the Password from AAD or Microsoft 365 Admin Center
 
  1. The account holder should receive an email with steps to reset their pwd.
