Relationship Management in Business Central:
Contacts:
To create Contacts, enter contacts in the search and select the related link. Then, on the Contact List page, click New to create a new Contact.



 

This action will open a Contact Card.



 

If the No. Series is set up the user may tab in the No. field to enter a Contact No.
Enter the Contact Name in the Name field.
In the Type field, the user may select Company or Person. This designation may be changed later in the relationship with the Contact. Available fields in the Contact Card depend upon the type of Contact designated. In this example, we will look at the Type of Person.
If Person is entered in the Type field, the user may select a related Company No. and Name. For example, if the Company has a Business Relation set up with a Customer, Vendor, or Bank Account, the Business Relation field will be populated automatically.
The user may populate a default Salesperson Code, a default Salutation Code, and an Organization Code.
Salutations are set up on the Salutations table. To access the Salutation table, enter Salutation in the search and select the related link.



 

To create a new Salutation, select New from the ribbon.
Enter a Code and Description to designate for whom the Salutation will be used.
To set up the Salutation related to the Code, select Formula in the ribbon to enter the desired Salutations for that Code.



 

Enter a language code.
Enter a Salutation type: formal or informal.
The formula for the Salutation.
Enter the Names to be used in the Salutation, i.e., Company Name or Contact Name.
Organization Levels are user-defined. To create Organization Levels, enter organization in the search and select the related link.



 

On the Organization Level page, enter a Code and Description for each Organization Level you would like to designate on the Contact. The Organization Level will generally be related to the type of industry your organization is involved. For example, the Organization Levels designated for an Engineering, a Scientific, or an Accounting Firm may represent varied levels related to your field.
A list of Job Responsibilities for the Contact Person may also be designated by selecting Contact>Person>Job Responsibilities.



To set up Job Responsibilities, the user may search for Job Responsibilities and select the related link to open the page.



Enter a Code and related Description.
The No. of Contacts that are assigned the Job Responsibilities will show in the No. of Contacts field.
In this example, the Contact is a Company.



Note that the Organizational Level Code is not available, nor are the Job Responsibilities.
For the Contact with Type Company the user may set up Industry Groups, Web Sources, and Business Relations on the Contact by selecting Related>Contact>Company in the ribbon.



To set up Industry Groups, enter Industry Groups in the search and select the related link.



Select New and enter a Code and related Description. The No. of Contacts assigned to each Industry Group will populate in the No. of Contacts field.
Web Sources may also be assigned to Contacts with Type Company. To set up Web Sources, enter Web Sources in the search and select the related link.



 

Select New in the ribbon and enter a Code and related Description.
Enter the URL to browse for the Web Source.
Business Relations refer to a Contact related to Customers, Vendors, or Bank Accounts. This relation may be established in a Contact with Type Company. From the ribbon enter Related>Contact>Company>Business Relations.
To set up Business Relations enter Business Relations in the search and select the related link.



 

Select New from the ribbon and enter a Code and related Description.
The No. of Contact assigned to each of the Business Relations will show in the No. of Contacts field.
Contacts with Type Company and Person may be assigned Mailing Groups and Alternative Addresses.
To assign Contacts Mailing Groups from the ribbon, select Related>Related Information>Mailing Groups.



 

To set up Mailing Groups, enter mailing Groups in the search and select the related link.



From the ribbon, select New and enter a Code and related Description.
The No. of Contacts field will populate with the No. of Contacts assigned to each Mailing group.
To assign Alternative Addresses to a Contact. From the ribbon, select Related>Contact>Alternative Address. The user will choose Card to set up the Alternative Address and other communication information as required and select Date Range to set up a date range the Alternative Address is valid.






Contacts may be linked to Customers, Vendors, or Banks. There are three ways to link a Contact to one of these master records.
The user can create a Customer, Vendor, Bank, or Employee from the Contact.
From the ribbon on the Contact Card select Actions>Functions>Create As. Select the master record to be created.



The user will receive a message asking if they want to use a template to create the master record. If the user clicks Yes a list of templates will open for the user to choose from.




When the record has been created, the user will receive a verification message.



The information from the Contact Card will be copied to the Customer Card.
Secondly, the user may link the Contact with an existing master record by entering the Company No. for the master record in the Company No. field.
Lastly, a Contact may be created from the master record. This will create an automatic link to the master record.
